HR & Personnel Coordinator
The HR and Personnel Coordinator ensures efficient management of personnel resources and administrative functions to support the smooth operation of the organization. This role is critical in maintaining accurate competence records, coordinating training and travel arrangements, and providing administrative support that enables the company to meet its operational and compliance requirements
Principal accountabilities:
- Coordination of Personnel Resources
- Collaborate closely with the Operations Manager, Rental Manager and Workshop Manager to plan and allocate personnel for technical, project, and workshop teams
- Facilitate onboarding processes and ensure smooth transitions for new hires and temporary staff
- Competence and Compliance Management
- Maintain up-to-date competence records, ensuring compliance with required certifications, health checks, and training
- Organize visa and vaccine arrangements for overseas assignments
- Administrative Support
- Review and process travel expense claims and timesheets with accuracy and efficiency
- Manage the administration of personnel schedules and assignments
- Recruitment Assistance
- Support HR in recruitment processes, including job postings, candidate communication, and scheduling interviews
- Stakeholder Collaboration
- Assist in maintaining and negotiating agreements with training providers, travel agencies, and staffing agencies
- Actively participate in discussions and initiatives with union representatives as needed
- Communication and Information Management
- Update and publish relevant information on internal communication platforms
- Ensure accurate and timely documentation of personnel-related activities
- Support for Leadership and HR Functions
- Provide administrative support to the HR Manager, Operations Manager, and Workshop Manager
Contribute to the development of new procedures and administrative improvements
Special features:
- Strong collaboration and interpersonal skills, particularly in working with workshop and operational leaders
- Proficiency in Norwegian and English, both spoken and written
Ability to work systematically and efficiently under time constraints
Knowledge, experience and skills required:- Education at college level or equivalent, or extensive relevant experience in similar roles
- 5–10 years of relevant experience in HR/personnel work, including personnel coordination and compliance management
- Solid understanding of personnel coordination and HR administrative processes
- General knowledge of tools and systems for competence tracking, travel administration, and timekeeping
Duration: 3 - 6 months
